Quotation Approval Process: How Customers Approve or Reject a Job Quotation
BytePhase’s quotation approval process lets your customers review a repair job’s pricing and approve or reject it right from their phone, no app install needed. Follow the steps below to create a quotation, send it, and see the customer’s decision reflected instantly in your portal.
Step 1: Open the job and start a quotation
- Go to the job list.
- Select the job: find and click on the particular job for which you want to create a quotation.
- Click job actions: this opens a menu with options related to the job.
- Choose “Quotation”: from the job actions menu, select “Quotation” to open the page where you build and manage the quotation for that job.
Step 2: Add services, parts, and prices
- Add services and parts: on the quotation page, click “Add Service” or “Add Part” and enter the necessary details.
- Set prices: enter the amount for each service and part in the quotation.
- Everything you add here stays tied to the job’s repair ticket management timeline, so pricing, approvals, and status all live against the same ticket.
Step 3: Send the quotation for approval
- Create the quotation: once you have added the details and prices, click the “Create Quotation” button.
- Select a notification channel: choose email, SMS, WhatsApp, or a web notification. The customer will receive the quotation link through whichever channel you pick.
- Customer receives the link: the customer gets a notification with the link to the quotation on the channel you chose.
- Customer approves or rejects the quotation: the customer opens the link, reviews the services, parts, and prices, and taps to approve or reject.
Step 4: Track the customer’s decision automatically
- Status auto-updates: once the customer approves or rejects, the quotation status updates automatically in your portal.
- Pop-up notification: you get a pop-up notification the moment the customer decides, so you always know where a quotation stands without checking manually.
Great job! That’s it — you’ve created a quotation, sent it for approval, and can track the customer’s decision the moment it happens.
This quotation approval process keeps pricing conversations out of back-and-forth calls and texts. The customer reviews services, parts, and cost in one link, and you get a real-time update the moment they respond, so the job can move forward without delay.
