Zapier Integration for Repair Shops

Your repair shop lives in more tools than just BytePhase — a Google Sheet the owner watches, a Slack channel the team reads, the form on your website, the spreadsheet your marketer runs leads from.

Overview

Zapier and BytePhase, explained

You connect with a single API key. BytePhase shows the key once and stores only a hashed copy — after that it is masked down to its last four characters.

Why it matters

The old way vs BytePhase

Without the integration
  • Copying new jobs into a spreadsheet or Slack by hand
  • Website form leads re-typed into BytePhase one by one
  • The owner asking "any payments today?" over and over
  • Duplicate customers piling up from imports
  • Needing a developer for every little cross-app automation
With Zapier + BytePhase
  • A new job in BytePhase fires a Zap automatically the moment it is created
  • An incoming Zap creates the lead in BytePhase with device and follow-up details
  • Every new payment triggers a Zap into your dashboard, sheet or chat
  • Find Customer matches on name, email or mobile before anything new is created
  • You build it yourself in Zapier — BytePhase already speaks its language

How it works

How the Zapier integration works

Generate and connect your API key

Create an API key in BytePhase — shown once and stored hashed — and paste it into your Zapier connection to authenticate every request.

Test the connection

Use the built-in ping test to confirm BytePhase and Zapier are talking before you switch a Zap on.

Build triggers and actions in Zapier

Pick a BytePhase trigger or action in Zapier, wire it to any app, and let jobs, leads, customers and payments flow automatically.

One action, everywhere

One website form submission, handled end to end

Zapier receives the form entry from your site
Find Customer checks name, email and mobile in BytePhase
Existing customer matched, or a new one created
A lead is created with device type, brand and model
The follow-up date is set on that lead
Your team is notified in Slack or a sheet through Zapier
No duplicate record, no manual typing
The enquiry is ready before anyone picks up the phone
In practice

Zapier in a repair shop

Every payment on the owner's screen

The owner wants live cash visibility.

Web leads that enter themselves

A visitor fills the form on your website.

A walk-in who checks themselves in

A customer submits a Self Check-In at the counter.

Why it matters

Why repair shops connect Zapier

BytePhase in every tool you use

Triggers and actions connect your shop to thousands of apps through Zapier, no code required.

Leads and customers enter once

Create Lead and Create Customer let incoming Zaps write straight into BytePhase.

No duplicate customers

Find Customer matches on name, email or mobile before anything new is created.

Real-time shop events

Six triggers fire the moment a job, payment, lead or status change happens.

Check-ins that become jobs

A webhook creates the enquiry, matches the device and notifies Reception — then it converts to a job in one click.

A key only you hold

Shown once, then stored as a hash and masked — every request authenticated, rate-limited and scoped to your shop.

Zapier integration FAQ

How do I connect BytePhase to Zapier?2026-07-10T05:01:34+00:00

With an API key. BytePhase generates it, shows it once, and stores only a SHA-256 hash — afterwards you see just its last four characters. You paste it into your Zapier connection along with your API base URL, and every request is then authenticated, rate-limited and scoped to your shop. A built-in connection test confirms the link before you switch a Zap on.

What can trigger a Zap from BytePhase?2026-07-10T05:01:34+00:00

Six events: New Job, Job Status Change, New Customer, New Lead, New Payment and New Outsourced Job. Each fires in real time as it happens in your shop.

What can a Zap do inside BytePhase?2026-07-10T05:01:34+00:00

Three steps. Two of them write: Create Customer (with contact, GST number, source and address) and Create Lead (with device type, brand, model and follow-up date). The third, Find Customer, is a read-only lookup by name, email or mobile that you run first to avoid creating a duplicate. Separately, a Self Check-In webhook can create an enquiry that converts into a job.

Will it create duplicate customers?2026-07-10T05:01:34+00:00

No, as long as you use Find Customer first. Values are passed by name rather than internal IDs, and BytePhase matches an existing record or creates a new one — so your Zap updates the right person.

What is the Self Check-In webhook?2026-07-10T05:01:34+00:00

It turns a customer’s own check-in into work in your shop. The webhook creates an enquiry, resolves the device type, brand and model from the names you send, stores the serial number, any custom fields, an optional address and a pickup booking, assigns it to Reception and sends a push notification. From there one click converts it into a full job — the attachments and the pickup-and-drop record carry across, and the check-in is marked Converted.

Which apps can I connect to?2026-07-10T05:01:34+00:00

Through Zapier you can connect to thousands of apps like Google Sheets, Slack and more. BytePhase provides the triggers and actions; Zapier links them to the rest of your stack.
